JOB SUMMARY FOR THE ADMINISTRATIVE ASSISTANT:

To provide administrative assistance to the Office of the National Director, General Counsel, and Human Resources/Office Services Departments.

DUTIES / RESPONSIBILITIES:

  • Work effectively with team members to coordinate and meet needs for planned projects.
  • Prepare, revise, and proof letters, reports, and documents based on input from each executive working from notes, copy, and drafts, design formats to enhance each document, and review for accuracy.
  • Plan, organize, maintain, and update a variety of files, records, and databases.
  • Create graphics and text for special projects such as presentations and reports as assigned.
  • Coordinate and schedule travel, interviews, reference checks, meetings, and appointments for the team.
  • Prepare agendas and schedules for departmental meetings.
  • Set up and make arrangements for catered and off-site gatherings.
  • Communicate with internal and external contacts, including replying on behalf of the executive when requested, and reaching out to the executive when needed.
  • Work independently on special projects.
  • Maintain office supply inventories and re-stock as needed.

REQUIRED SKILLS / ABILITIES:

  • Ability to work with a variety of executives
  • Excellent written and verbal communication skills
  • Professional and courteous manner, proactive approach
  • Excellent organizational skills and attention to detail
  • Ability to maintain confidential information
  • Ability to prioritize tasks and meet deadlines
  • Proficient in Microsoft Office Suite and with Apple products
  • Working knowledge of Adobe, Zoom, and Salesforce preferred

EDUCATION / EXPERIENCE:

  • 2 � 3 years administrative assistant experience supporting multiple departments
  • Bachelor's Degree in Business or related field preferred but not required
